
The short answer is to keep one strong master file and make purpose built copies from it. Websites care about pixel dimensions and file weight. Open calls care about whatever limits their portal sets. Prints care about pixels at a physical size. Reproduction and archives care about all of that, plus color, scale, crop, and the quality of the original capture.
This guide explains how those jobs differ, how to calculate a useful print size, and what to ask for after a documentation session. Resolution gets much simpler once it stops pretending every file has the same future.
Is 300 DPI Enough for Artwork?
The honest answer to "is 300 DPI enough for artwork" is that DPI alone answers nothing. Resolution is a relationship between the pixels a file contains and the size at which those pixels get displayed or printed. A file that measures 6000 by 4000 pixels holds the same number of pixels whether its metadata says 72 ppi or 300 ppi. Changing that label without resampling adds no detail. It just changes what physical size the pixels are proposed to fill.
On a screen the browser mostly cares about actual pixel dimensions, not the ppi tag. In print, the pixel count gets divided across inches, so a 6000 pixel wide file can print 20 inches wide at 300 ppi, or 30 inches wide at 200 ppi. The first version packs the same information more tightly. Ppi and dpi also describe different things: ppi is image pixels per printed inch, dpi is the printer's physical dots. The difference rarely matters in conversation as long as the actual request states pixel dimensions and print size together.
So 300 ppi is a strong default for a close-viewed print, and Adobe uses it as a general high quality recommendation. But the file still needs enough total pixels for the size you actually want. A 1200 pixel wide image labeled 300 ppi is four inches wide at that resolution no matter what the metadata claims. How Many Megapixels Do You Need to Photograph Artwork?
Start with the largest intended output rather than a camera spec. A 6000 by 4000 pixel file is about 24 megapixels and prints at roughly 20 by 13.3 inches at 300 ppi before any cropping. That covers most gallery, catalog, and open-call needs from a single well-executed capture.
Two things push the requirement higher: a larger reproduction size, and an aggressive crop. If the final print shape is narrower than the artwork's real proportions, part of the captured frame gets removed, so calculate from the cropped pixel dimensions, not the untouched file that looked larger in the folder. A 24 by 36 inch exhibition print at 300 ppi needs 7200 by 10800 pixels, well past what a single 24-megapixel frame delivers without upsampling.
For work that size, or for pieces with fine surface detail that has to survive close inspection, a higher resolution camera or a stitched capture, several aligned frames combined into one larger file, answers the question more honestly than asking one sensor to do more than it can. A larger file cannot repair a weak capture either. It should be square to flat work, evenly lit without glare, anchored with a neutral color target, and focused on the actual surface rather than a small camera preview.
Calculate the Print Size Before You Argue About PPI
The math is simple once you do it in order. Multiply the desired print width and height in inches by the target ppi. An 8 by 10 inch print at 300 ppi needs 2400 by 3000 pixels. An 11 by 14 inch print needs 3300 by 4200 pixels. A 16 by 20 inch print needs 4800 by 6000 pixels.
Large prints are usually viewed from farther away, so they can work below 300 ppi, and that is a production decision, not permission to guess. Ask the printer what it wants for the process, paper, and viewing distance. If the printer says 200 ppi is appropriate for a 24 by 36 inch exhibition print, the requirement drops from 7200 by 10800 pixels to 4800 by 7200. The physical use decides whether the difference is visible. The printer's spec should decide the number, not a rule of thumb repeated without context.
To check an existing file against a print size, open the file information panel and read the pixel dimensions, ignoring the ppi label for a moment. Divide each pixel dimension by the target ppi. A 4500 by 3000 pixel image becomes 15 by 10 inches at 300 ppi. If the file needs to print larger than that math allows, either confirm a lower effective ppi with the printer or go back to a better source file.
TIFF vs. JPEG, and Why Upscaling Doesn't Fix a Weak Capture
Is TIFF better than JPEG for artwork files? For the master, generally yes. A TIFF preserves a high quality file without the compression JPEG applies, so it holds up through years of resizing and re-export. JPEG is the practical choice for websites, email, and most open-call portals, where a smaller, compressed file is the actual requirement. The format does not create resolution on its own. A small TIFF is still small, and a carefully exported JPEG can still carry plenty of pixels for its intended use.
You can resample a file and generate more pixels, and some software will call that increasing the resolution. It does not recover detail the original capture missed. Careful enlargement can work for a modest print or a viewing distance that hides the softness, but it stays a workaround, not a fix, when color, brushwork, or a fine surface mark has to survive close inspection. If the master is genuinely too small for the job, the answer is a recapture, not a bigger export of the same file.
Keep one full resolution master, TIFF or another high quality working format. Build derivatives from it as each job needs them: a web JPEG, an open-call export sized to the portal's limits, a print file matched to the ppi a printer actually asked for. None of those copies should replace the master, and none should get re-exported from each other. Compression and resampling accumulate quietly when a JPEG keeps getting resaved.
What Files to Ask for After a Documentation Session
Ask for files by job, not by the phrase "high resolution" on its own. Name the largest print or reproduction size you can reasonably expect to need. Share any open-call specifications, since portals set exact dimensions or a maximum file size and mean it. Say whether the work needs a web portfolio image, an archive record, a press file, or a full-size reproduction file. Each of those has a different useful pixel count.
A useful delivery from a documentation session usually includes the full-resolution master, a web-ready JPEG, and whatever submission or print files are already known to be needed. Confirm the pixel dimensions of the master before the session ends. Ask whether the web version is sRGB. Keep file names tied to the artwork record, title and inventory number if you use one, and keep the master separate from every resized copy made from it later.
A gallery site needs a light, fast JPEG. An open call needs whatever the portal specifies. A future catalog page or editioned print needs the master nobody thought to plan for at the time. Ask for that master now. Storage is cheap compared with documenting the work again after it has sold, shipped, or changed hands.
